Batches, enquiries, fees, attendance and online tests — in one system, with a login for the student and one for the parent.

Every coaching centre we have met runs on the same four things: a register for attendance, a diary for enquiries, a WhatsApp group per batch, and one person who knows who has paid. It works until it does not — usually at admission season, when the enquiries arrive faster than anyone can follow them up and last year's fee defaulters are a spreadsheet nobody has opened since March.

We know because that was us. Satvik Academy is our own tech coaching institute, and this software exists because we needed it before anybody else asked for it. It has been running our batches, fees and tests in production ever since, which means you can open it and look before you spend anything.

Most software in this category is sold on a slide deck and a screen-share. Ours is public: Satvik Academy is a live institute platform on this same domain, with the catalogue, the student portal and the parent portal all working. Go and press things. If a system cannot survive a stranger clicking around it, it will not survive your admission season either.

Batches, not classes

A coaching centre does not have Class VII — it has a Sunday morning batch, a weekday evening batch and a crash course that runs for six weeks. Everything here is built around that: a student enrols in a batch, not a year; a batch has its own timetable, its own fee plan and its own teacher; and a student in two batches appears correctly in both without being counted twice.

Enquiries that actually get followed up

An enquiry nobody calls back is the most expensive thing in a coaching centre. Every enquiry from the website lands in one list with a status against it — new, contacted, converted — so at any point you can see how many are waiting and which ones went cold. Turning one into an enrolled student is a single step, and the student's login is created with it.

Fees, receipts, and who has not paid

Fees are collected the way parents actually pay: monthly or in instalments, with discounts where you give them, and a GST receipt as a PDF. Parents can pay online from the phone, and the counter can record a cash payment the same way. The question you actually ask — who has not paid — is a list, not an afternoon with a register.

Tests that mark themselves

Online tests with a time limit and a single attempt, marked the moment the student submits, with the correct answer and an explanation shown afterwards. The score, the percentage and the grade are computed on our side rather than in the browser, so a student cannot read the answers off the page.

What this is not

It is not a school ERP. If you run classes, sections, boards and a transport route, Campus ERP is the right product and this is not — ask us and we will say so. It is also not a website, though the two work together, and most institutes want both: a public site that brings the enquiry in, and this behind it to do something with the enquiry once it arrives.

Questions we get asked first.

How is this different from school ERP software?

A school ERP is organised around classes, sections and an academic year. This is organised around batches, which is how a coaching centre actually runs — a student joins a Sunday batch, not Class VIII. If you need boards, sections and transport routes, ask us about Campus ERP instead; we will tell you which one fits rather than selling you this one.

Can parents see attendance and marks?

Yes. A parent gets their own login showing only their own children: attendance, test results, fee status and receipts. A parent with siblings at the centre sees all of them in one place. It cuts the "did he attend today" phone calls to almost nothing.

Can students pay fees online?

Yes, from the phone, and the receipt is generated automatically. Cash paid at the counter is recorded the same way, so both appear in the same ledger. The payment gateway is your own account — the money reaches your bank directly and never passes through us.

Can we set our own tests?

Yes. You write the questions, mark the correct option, optionally add an explanation, set a time limit and publish. Nothing about the question bank comes from us, and a test stays a draft until you are ready for it.

How much does it cost?

It depends on how many batches you run and whether you want the public website with it. Call us and we will scope it and give you a fixed number, rather than a per-student rate that grows without warning.
